Late Arrival Policy

Please arrive on time. Your appointment time is reserved for you. If you arrive late, your appointment will still end at the scheduled time and the full fee will be charged.

Cancellation Policy Updated Dec 5, 2022

Due to the high demand for appointments, we now require a minimum of 48 hours notice to cancel or change appointments, except in cases of illness, unavoidable emergencies, or extreme inclement weather. This extra notice offers an increased opportunity for other patients to receive treatment by filling the cancellation timeslot.

The full fee will be charged for late cancellations and no-shows.

If you need to cancel/change an appointment, please do so through our online booking or phone the clinic during our business hours to ensure we receive your cancellation notification in the required amount of time to avoid being charged the appointment fee.

We do not accept rescheduling or cancellations via email.

Note: Not receiving an automated reminder is not an acceptable excuse for missing an appointment. We send automated reminders as a courtesy. They should not be relied upon as your sole method of knowing when your appointment is.

Medical Services Plan (MSP)

Treatment fees are to be paid upfront in full by the patient. For those on Premium Assistance, our Registered Massage Therapists and Registered Acupuncturist can submit an online form and MSP will mail a reimbursement cheque for $23 per visit for up to 10 visits per calendar year.

Direct Billing to Extended Medical Plans

Our practitioners offer the service of billing extended health plans on your behalf.

Examples of insurance plans that allow direct billing are: Pacific Blue Cross, Greenshield and the extended health plan companies that use the Telus Health Portal, which includes Canada Life, ManuLife, GroupHealth, GroupSource, Johnson Inc., Johnston Group Inc and many more.

Confirm the requirements and stipulations of your plan before embarking on a treatment schedule.

Check with your plan administrator to find out if you can use this service and how much your plan will cover. New Patients who would like to take advantage of this service must fill out the Extended Health Benefits portion of our online health history form. For other extended medical plans, the amount of reimbursement depends on your individual plan.

Direct Billing to ICBC

Practitioners who direct bill to ICBC are Elvina, Gayle, Sanae and Sabrina.

If you would like to see one of our other practitioners, you must pay upfront and send in your receipt to ICBC. If it has been longer than 12 weeks since your accident, we require direct communication from ICBC confirming your treatment extension, including how many sessions and the applicable end date.

PLEASE NOTE: Vitality is independent from Extended Health Plans and ICBC and we offer direct billing as a customer service to our patients. It is the patient's responsibility to be aware of the details of their plan or claim.
